The Manual Sales Desk module lets you sell your paid plans without a payment step at checkout. A customer picks a plan and presses Request this plan. You get the request, reply with how to pay, and once the money is in, the order is set up exactly like any other paid order: the line is created on your panel and the customer gets their login by email.

Free trials are never affected: they keep working exactly as before. Nothing changes in your store until you own the module and switch it on.

1Step 1 of 7Open the settings

Go to Modules → Manual Sales Desk (after adding the module from the modules marketplace).

2Step 2 of 7Choose how you answer requests

Switch on Take orders by hand. Then pick what happens when a request comes in:

  • Approve each request — you look at every request and decide how the customer pays.
  • Send the payment link automatically — every request gets a secure payment link by email straight away. If the customer pays online, the order is set up by itself.

3Step 3 of 7Choose the ways to pay you

  • Online payment link — a secure link for one order that uses your own online gateways (set up under Payment gateways). The link is included with this module; you don't need the Pay-by-Link module for it.
  • Payment instructions — your own details: a crypto address, a money-app tag, bank details. Click Add payment instruction, give it a name, a type and the payment details. They are sent as plain text, with the order reference.

4Step 4 of 7Set the timers and the message

Reminder after (hours) sends one reminder: to the customer when a payment is waiting, or to you when a request has not been answered. Auto-close after (days) closes unpaid requests by themselves and tells the customer; nothing is charged. A request where the customer says they paid is never closed by itself.

Under Message on the request form, write what customers read before they send a request. Click Save settings.

5Step 5 of 7What your customers see

On a paid plan the button says Request this plan. The customer fills in their login details as usual, can add a Telegram or WhatsApp handle and a note, and presses Send request. They get an email confirming the request, and can follow it under My requests in their account. Customers renewing an existing line see Request renewal instead of a payment step.

6Step 6 of 7Answer a request

Open Subscriptions → Order requests. You see each request with the plan, price, customer, contact details and how long it has been waiting, plus this month's requests, paid orders, conversion and median time to pay.

  • Send payment link emails the customer a secure payment link (and shows it so you can copy it into a chat).
  • Send payment instructions emails one of your saved payment instructions with the order reference.
  • Decline cancels the request with an optional reason for the customer. Close cancels it without a message.

7Step 7 of 7Mark it paid

When the money has arrived, click Mark paid, choose how the customer paid, check the amount, add a reference if you like and click Confirm payment. The line is created (or, for a renewal, extended) and the customer gets their login by email. With Credit Tracking on, the credits it used are booked too. If the customer paid through the payment link, this happens automatically.

How customers pay

In My requests, a customer with a payment link presses Pay now. A customer who paid with your instructions presses I've paid and can add a note and a screenshot. You then get an alert — the order is never marked paid automatically from I've paid: you check the payment and use Mark paid. A customer can also Withdraw request while it is still waiting.
